Use this guide to plan the visual structure of a campaign email. Wio helps you shape the composition; use the email service you choose for sending, list management, and delivery settings.
1. Set one campaign goal and audience
Decide what this email is meant to communicate and who should receive it. A product announcement, event invitation, and renewal reminder call for different content and different levels of detail.
Write down the desired next action and the information a reader needs before taking it. Keep the campaign grounded in accurate offer terms, dates, eligibility, and destination links.
Only send to an audience that is appropriate for the message and permitted under the rules that apply to your organization. Design choices cannot compensate for a mismatched audience or an unclear reason for receiving the email.
2. Arrange the message from opening to action
Lead with a clear headline and short introduction. Add only the supporting information needed to explain the offer or update, then make the next step easy to find. If readers need more context, link to a page with the full details.
Use one primary call to action and label it with the action it performs. Additional links can support the message, but avoid giving them equal prominence if they lead to unrelated tasks.
Keep the subject and opening aligned with the email’s actual content. Use short sections and make the main action visually distinct, while keeping any important conditions close to the offer they qualify.
3. Design a readable campaign composition
Keep the email layout focused and readable at narrow widths. Use concise text, clear spacing, and images that reinforce the message. Do not put essential terms only inside an image; keep important copy as selectable text.
Use Section Spatial to refine the headline, supporting content, imagery, and action within each section. Use Pages Spatial to move and resize those sections as you review the overall flow from introduction to call to action.
Think about the email as a narrow, vertical reading flow. Keep tap targets easy to use, avoid tiny text, and place essential information in live text. Use imagery to support the message rather than to carry all of its wording.
4. Check links, details, and delivery setup
Review all names, dates, offer conditions, links, and image descriptions. Check the design at mobile and desktop sizes and make sure the most important action remains visible and easy to use.
Before sending, configure the campaign in your chosen email delivery platform. Confirm the intended audience, subject line, sender details, and any required compliance settings there. For an ongoing editorial format, see the online newsletter design guide.
Send a test through your chosen platform and inspect the result in the email clients your audience uses. Confirm the unsubscribe and sender information, audience selection, and campaign schedule in that platform before delivery.
